Position: Admin Officer Job Purpose The Administrative Officer is responsible for managing daily office operations, optimizing workplace facilities, and providing robust administrative support to all departments. The ideal candidate ensures a seamless, safe, and efficient workplace culture by managing vendor relations, procurement, facilities, and logistics. Key Responsibilities Oversee office maintenance, cleanliness, security, and supervise support staff (janitors, security guards, and drivers). Manage office facilities, seating arrangements, utilities, and company assets. Handle procurement of office supplies, stationery, printed materials, and pantry items. Maintain inventory records, monitor administrative expenses, and ensure stock availability. Coordinate vendor management, negotiate service agreements, and process invoices. Arrange employee and executive travel, including flights, accommodation, and transportation. Provide logistical support for meetings, training sessions, events, and employee engagement activities. Ensure compliance with health, safety, and administrative regulations, including licenses and lease records. Prepare and maintain administrative reports, trackers, and dashboards using advanced Excel. Maintain punctuality and ensure timely completion of assigned administrative tasks and deadlines. Job Specifications & Qualifications Education: Bachelor’s degree in Business Administration, Public Administration, or a related field. Experience: 2–4 years of proven experience as an Admin Officer, Operations Assistant, or a similar administrative role. Knowledge & Competences: Proficiency in MS Office Suite (Word, Excel, PowerPoint). Familiarity with administrative dashboards or basic ERP/inventory software is a plus. Strong negotiation and vendor management skills. Excellent verbal and written communication. High problem-solving aptitude and ability to multitask under pressure.
